A tool that is perfect for connecting two apps in five minutes is the wrong choice for a 20-step system you want to run thousands of times a month. Here is how we actually choose.
01n8n
Best for: flexible, ownable, high-volume automation
n8n is open-source and can be self-hosted, which means you own it and your per-run cost stays near zero even at scale. It is our default for serious client builds: complex logic, lots of steps, AI in the middle, and volume that would make per-task pricing painful elsewhere. The tradeoff is more setup than the plug-and-play tools. If you are building something you want to run forever and cheaply, this is the one.
02Make (formerly Integromat)
Best for: fast, visual, multi-step builds
Make gives you a visual canvas that makes complex, branching flows genuinely enjoyable to build, at a much lower cost than Zapier once you have more than a few steps. It is the sweet spot for teams that want power without running their own server. Great for reporting pipelines, data syncs, and anything with conditional logic.
03Zapier
Best for: the widest integrations, least setup
Zapier connects to more apps than anything else and has the gentlest learning curve, so it is the fastest way to automate a simple two-or-three-step task today. The catch is cost: it gets expensive as volume and steps grow, and it is less flexible for complex logic. Perfect for a first automation or a niche app nobody else integrates with.

04Claude and OpenAI
Best for: the thinking steps inside a workflow
These are not workflow tools on their own, but they are what turns a rigid automation into a smart one. Drop Claude or OpenAI into an n8n, Make, or Zapier step and your workflow can read an email and decide what it is about, summarize a call, draft a reply, or categorize a lead. This is the difference between automation that follows rules and automation that uses judgment.
